HubSpot - Offer Form

Iterating on Offer Forms to provide a way for recruiters to see all necessary information on a single page and/or hand off specific forms to appropriate departments.

Disclaimer

Unfortunately, due to confidentiality reasons, I cannot share a bulk of my work that I have done or am currently doing at HubSpot. For now, you'll have to trust that, as the lead designer, I am doing quite a lot during my time here.

Context

When creating an offer letter for a candidate, recruiters need to fill out a lot of information on the offer form before it can be sent to the candidate...trust me when I say it's a lot more information to fill out than what you think!

Please note: Some of these projects were things I worked on as a contractor, and upon returning full-time, these projects have been iterated on.

The Problem

The current state of the offer letter tool forced recruiters to toggle between multiple platforms and/or extensions. Additionally, in special, but not rare, cases, there are multiple teams and departments recruiters need to get in touch with to receive the necessary information. This is all a manual process. If you're not convinced this is a pain point, many of our recruiters need to make about 30-40 hires a month. This means that our recruiters are taking the manual process per candidate so this isn't a "one and done" situation.

The Solution

While I cannot talk about the actual solution we came with and how we are currently iterating on this project, I can highlight some of the work I did and some of its results.

  • Based on user interviews, I redesigned the layout so our recruiters could see all necessary information in a single page view. We were able to decrease time spent to create an offer by 77%.

  • With additional feedback and working with the development team, we were able to decrease integration failure rate by 13.6%.
